Completing the forms for automatic processing

Whichever method you use to complete the form you must not enter either the symbol $ or the symbol # or the symbol /. This applies for all forms and for all questions.

Certain types of question must have their answers presented in a particular way. The table below gives guidance.

The date must be shown in the format dd/mm/yyyy.
If the day or month has a value less than 10 enter 0 and then the single digit.
Examples:
2nd December 2004 = 02/12/2004;
29th March 2012 = 29/03/2012.
Use the forward slash “/” only if completing a free flow field. On paper enter the figures in the boxes provided.

Monetary

SDLT1: questions
9, 10, 11, 13, 14, 15, 20, 21, 22, 23, 24, 25.

SDLT4: questions
1, 22, 23, 24, 25, 26, 27, 36

Do not use commas (100000 not 100,000), pound signs or pence.
Enter only the figure of whole pounds, ignoring any pence, e.g. tax due = £1009.58 reduces to £1009.00.
Enter '1009' but NOT '£' or '.00' as these are already part of the form.

Numeric

Use figures only, that is 1, 2, 3… not one, two, three…

Situaton of land

If there is no postal address leave the fields for postcode and house number blank.
Instead within the field for the rest of the address provide a brief description of the nature and location of the property, for example by giving the dimensions stated in the instrument, by attaching a plan, or by describing the boundaries fully, so that it may be identified.

UK postal address

Postcode: must be entered if the property has one.
If the property has more than one postcode enter only one.
Enter only the full 2 part Royal Mail postcode.
Leave blank if not known.
Do not enter a partial code or any other type of code e.g. for the armed services.
Number: if the property has a house or building number it must be entered.
Letters may be used in addition to digits but no more than 4 characters may be entered.
If the property covers a range of street numbers e.g. 238-243, leave blank.
Instead enter the full number, 238-243 in the field for ‘Rest of address’.
Rest of address: give the remainder of the postal address not shown in the other two parts.
All Northern Ireland addresses should include the county.

Overseas (postal) address

SDLT1: questions
7, 38, 40, 48, 54, 61, 68;

SDLT2: question 5

To complete an overseas address always leave blank the parts for postcode and for house or building number - even when the overseas address contains their equivalent.
Instead the full overseas address, including the country, must be contained within the "rest of address" part.
If necessary, abbreviate.

Agent's DX and Exchange

SDLT1: questions 41, 62

Complete accuracy is essential.
Do not use any other type of address, for example, Legal Post.
If you supply both postal and DX addresses the system will default to the DX address using the characters you have entered at question 41/62 as the DX address.
So if “Not Applicable” is entered in question 62 the SDLT5 certificate will be printed showing the address as DX Not Applicable and will automatically be despatched to that address.
Check that the DX address is live.
Do not use anything other than letters, numbers or spaces for the address (no punctuation or symbols).
On the pre-printed paper form 1st line - DX plus number, 2nd line - location [exchange] and location number [if any] if space allows.
For onscreen SDLT1 form enter DX plus the number.
Leave a space and enter the location name, and, if it has one, the location number.
If necessary on either type of form abbreviate the name.
