SW03370 - Using Shared Workspace: Customer Home and Remote Working
As with all HMRC Online Services, Shared Workspace can be accessed from any computer with an internet connection from our web site at www.hmrc.gov.uk/online/index.htm.
Policies and practices on home and remote working for Customer Members is the responsibility of the Customer Organisation.
Customer Members are reminded of their obligations under the Data Protection Act 1998 (DPA) SW03250.
Note: Customer Organisations must consider the specific requirements of the DPA when remote working from outside of the UK.
(This text has been withheld because of exemptions in the Freedom of Information Act 2000)
HMRC are not responsible for security of the information accessed by Customer Members.
On leaving Shared Workspace the Customer Member should use the log-out button that is displayed at the top right of each Shared Workspace screen SW03330. This will automatically delete any information stored by Shared Workspace on the computer in its cache and ensure it is not available to other people who may use the computer at a later date.
Notes
- If using the Plug-in SW07610 any files that you view are copied and stored to your computer’s hard drive to enable quicker access to the information next time you view it. The data is stored in an area referred to as cache memory.
The data remains in the cache until the 25Mb storage limit is reached. When this happens data is still stored in the cache with each new item replacing an older one.
If using a machine shared with others it is advisable to amend the cache setting to zero. By doing this only the last item accessed will be stored in the computer’s Shared Workspace cache.
Using the log-out button to exit Shared Workspace clears everything from the plug-in cache.
- It is the Customer Members responsibility to ensure information is stored securely, and in accordance with their organisation’s guidelines.
