SAM104052 – Records: trace taxpayer record: trace responsible office


Function TAXPAYER INDEX (TI) allows you to access the National Tracing System and the Taxpayer Business Service function FIND TAXPAYER allows you to access the Citizen Identification Framework.

To trace the office with responsibility for processing work, or the office with technical, recovery or accounting responsibility, on name / business name and address / business address, follow steps 1 - 4 when using TAXPAYER INDEX and steps 5 - 9 when using TBS function FIND TAXPAYER for Individual taxpayer type only

Using function TAXPAYER INDEX


  1. Enter the taxpayer’s name and address or business name and business address, if necessary making use of fuzzy matching (see subject ‘Fuzzy Matching In Taxpayer Index’ ( SAM104020) on name

  2. If the screen shows NINO or temporary reference number and EMPREF

  • The PAYE office displayed is the office with responsibility for Processing work
  1. If the screen shows GCD record and Schedule D Reference

  • Note the D reference. If there is an SA record, the SA office with responsibility for Processing work may differ from the office responsible for the CODA record
  • Use function RETRIEVE UTR FROM D REFERENCE. Enter the Schedule D reference to ascertain the Unique Taxpayer Reference (UTR) and office with responsibility for Processing work
  • If there is a UTR, the SA responsible office will be shown. Refer to that office
  • If there is not a UTR, refer to the CODA responsible office
  1. If the screen shows UTR

  • Note the UTR. The SA record is not linked to a PAYE record
  • Use function MAINTAIN RESPONSIBLE OFFICE to ascertain the responsible office for each type of Revenue activity
  • Refer to the relevant office
Using TBS function FIND TAXPAYER

  1. In the Taxpayer Business Service function menu select function FIND TAXPAYER

  2. Enter the details you hold for the taxpayer and select the [Find] button

  3. Choose a record from the list displayed and select the [More Info] button. This will display the personal details. Then select the [OK] button. You will be taken back to the list. Either select the [OK] button for VIEW TAXPAYER SUMMARY DETAILS or choose another record to view by selecting the [More Info] button

  4. The responsible office is displayed in VIEW TAXPAYER SUMMARY DETAILS

  5. To ascertain the responsible office for each type of Revenue activity, use function MAINTAIN RESPONSIBLE OFFICE
