Scheme administrator: Adding details of further persons who are also the scheme administrator ("associate scheme administrator")

Who can I "associate" as scheme administrator

To protect the confidentiality of the information held on Pension Schemes Online, a person who is already known to HMRC as a scheme administrator must associate any other person who is also the scheme administrator to the pension scheme, before that other person will be allowed to "Add (them)selves to the scheme" and have access to the information held about that scheme.

Once a person has been associated with a pension scheme, and has added themselves, they can then associate further persons who are also the scheme administrator for that pension scheme.

You can associate any other person who is also appointed as scheme administrator under the pension scheme's rules.

If you cease to be the scheme administrator in relation to a pension scheme, and have already informed HMRC of this online, you will no longer be able to view any information in Pension Schemes Online in relation to that pension scheme, including that of associating a person who is appointed as scheme administrator.

New scheme administrator must first pre-register and complete registration for the online service

Before you can associate a new scheme administrator with the pension scheme, that other scheme administrator must first pre-register for Pension Schemes Online. This is because you need their scheme administrator ID in order to associate them to the pension scheme.

How do I associate them with a pension scheme?

To do this, log in using your user ID and password (see RPSM02306100 and RPSM02306110). Then

• select Pension Schemes Online from your list of services,
• select HMRC's free Pensions Product link or 3rd Party Software link under "File your forms and returns",
• if using HMRC's free Pensions Product, select the pension scheme,
• select Scheme Administrator Management under "Scheme Administration",
• then select the link at the bottom of the page "Associate another scheme administrator".

You will be asked to enter the scheme administrator ID (see above) of the person you are associating with the pension scheme.

What does the new scheme administrator do next?

Once you have successfully completed "Associate scheme administrator", the other scheme administrator can

• go online and log in,
• select "Add yourself as scheme administrator" (under "Administration",) and
• make the statutory declarations in relation to the particular pension scheme.

Once they have done this, they can perform the same online functions in relation to the pension scheme as you can, including associating further persons as scheme administrator.
