Overview
Function RR provides for the bulk recording of the receipt of
review forms (or information provided in place of the completed
form, for example, in a letter or phone call). As well as noting
the record that the information has been received, using this
function will also prevent a case being issued with a penal code
for CY+1.
Use Function RR to note on the taxpayer's record the date of
receipt of
- A completed review form
Or
- Information sufficient to satisfy the questions asked on the review form issued
Use the function the same day that you receive the form or
information.
Do not use Function RR to note the receipt of a form 575
issued from the wife's record. These cases can be identified by the
wife's NINO being shown under the address panel on the form 575.
Pass these forms straight to the Processing Officer.

Prime Format

- To enter the National Insurance numbers of taxpayers whose review forms have been received
Format 2
- Shown only if the employment changed on or after 6 April in the current year, within the office
How to use Prime Format
- Enter RR in the FUNCTION field
No other entries should be made in the remaining fields
How to use Format 1
Complete Format 1 fields as shown
NINO
Enter the National Insurance number for each review form (of
information) in turn. Omit the suffix. Use the first line and each
succeeding line in turn

Enter ‘Y’ if you need a continuation screen
Error messages
NINO
- REVIEW FORM NOT ISSUED
- Correct the entry if the review form or record shows a different NINO
Or
- Use Function RI to record the issue and receipt of the review form
- REVIEW FORM ALREADY RECEIVED
- If you have entered the wrong NINO correct it
Otherwise
- Delete the entry
- RR NOT APPROPRIATE - TAXPAYER DIED OR CEASED EARLIER THAN CY-1
- Correct the entry if the review form or record shows a different NINO
Or
- Delete the entry
CONTINUE
- INVALID
- Correct the entry to ‘Y’ or ‘N‘ or leave blank
Computer action once Format 1 screen completed and sent
The computer processes the details for each entry separately and
in turn. If a screen showing more than one entry is redisplayed
with an error message then you will not be able to amend any
entries that appear above the National Insurance number which
contains an error.
The computer will either amend the taxpayer record or display
Format 2 if the taxpayer changed employment on or after 6 April in
the current year, within the office.
How to use Format 2
If the taxpayer has changed employment within the office on or after 6 April in the current year, the screen will show you
- The National Insurance number and name
- A message giving the new reference
The message does not appear if the taxpayer has recommenced work
for the same employer, or has moved from the live range to the UB
range under the same employer reference.
Take action as follows
- Check that the screen relates to the correct taxpayer
- Amend the reference number on the review form
- Press the Enter key
What will happen next
- Processing of this case and any remaining cases on Format 1 will continue in sequence
What computer does finally
The computer
- Puts the date of receipt of the review form (or information) on the record. This will be the day that the Function is used
- Deletes the penal code signal for the next year unless the PCESS or DECD signals are set
Further action to take
After you have used Function RR
- Tick the top right hand corner of the review form to show that receipt has been recorded
- Check that any address changes have been recorded on the Taxpayer Business Service (TBS)
- Pass the review form(s) to the Processing Officer
