PAYE66041 - employment maintenance: bulk transfers: no trace of taxpayer record in the sub - region (Action Guide)


If you have entered the correct NINO in the NINO / Register field in Prime Format of Function MT but there is no trace of a taxpayer record in either your Management Unit (MU) or in the sub-region, you will get the error message - NO TRACE OF TAXPAYER RECORD IN THE SUB REGION. In these circumstances follow steps 1 - 6 below. The guide is presented as follows

No trace of main record

  1. If the missing record relates to a main source employment
  • Use TBS Function FIND TAXPAYER first then COP Function TI to find the taxpayer record using the name / address to search

Note: For more information about using the refined search facility see PAYE102000 onwards

  1. If you do not find a taxpayer record
  • Send any papers to the new MU

And

  • Ask them to use Function MS to create a new sub source record
  1. If you find a taxpayer record
  • Use Function BG to check if the employment is later than yours
  1. If it is a later employment
  • Send any papers on to the new Processing Office
  1. If yours is the latest employment
  • Send any papers to the new MU

And

  • Ask them to use Function MA to transfer the record to the employer reference held in their MU

No trace sub source record

  1. If the missing record relates to a sub source employment
  • Send any papers to the new MU

And

  • Ask them to use Function MS to create a new sub source record
