PAYE64012 - employment maintenance: employment history: prime format error messages (Action Guide)


To deal with error messages that may appear on Prime Format, follow steps 1 - 18 below. The guide is presented as follows

Initial action

  1. Check you have entered the correct NINO
  2. If you have entered an incorrect NINO
  • Change the details in the NINO / Register No field to the correct NINO

Otherwise

  • Go to step 3
  1. If you do not find a main source record
  • Use TBS Function FIND TAXPAYER first then COP Function TI to check whether a main source record exists using NINO or name and / or address to search

Note: For more information about using the refined search facility see ‘Finding A Taxpayer Record’ at PAYE102000 onwards

  1. If a main source record is found
  • Note the NINO, employer reference and Management Unit number on the form

And then

  • Go to step 10
  1. If a main source record is not found
  • Go to step 6

No trace of taxpayer record in the sub region

  1. If a main source record is not found but the information you are dealing with indicates you should have the main source record
  • Use Function MS (Class 2) to set up a main source record

And then follow the instructions given in ‘Other Information Received (Action Guide)’ at PAYE64018

  1. If a main Source record is not found but the information you are dealing with indicates you should have a sub source record
  • Use Function MS (Class 3) to set up a sub source record

No trace of taxpayer record in your District

  1. If a main source record is not found but the information you are dealing with indicates you should have a main source record
  • Use Function MS (Class 2) to set up a main source record
  1. If a main source record is not found but the information you are dealing with indicates you should have a sub source record
  • Use Function MS (Class 3) to set up a sub source record
  1. If a main source record is found elsewhere
  • Use Function BG to see if yours is the latest employment
  1. If yours is the latest employment
  • Treat the form as a P45(3) and follow ‘Receipt Of Form P45(3) And P46 Statement B (Action Guide)’ at PAYE62026 to capture the details

Note: If the form relates to an Agency worker and you find a live main source record relating to another Agency employment do not treat the form as a P45(3). Use the ‘Receipt Of Form P46 - Agency Worker (Action Guide)’ at PAYE65031

  1. If yours is not the latest employment
  • Pass any papers you are dealing with to the Processing Office responsible for the main source record

Function cannot proceed – record in your District is not main source

  1. Use Function TD or TR to see what record type is held
  2. From the information provided consider if you should hold a main source record
  3. If you should hold a main source record
  • Use Function MS (Class 2) to set up a main source record

And then

  • Follow the instructions given in ‘Other Information Received (Action Guide)’ at PAYE64018
  1. If you should hold a sub source record
  • Pass any papers you are dealing with to the Processing Office responsible for the main source record
  • Take no further action

No main employment record present for this year

  1. Check if you have entered the correct year and / or NINO
  2. If you have entered the incorrect year and / or NINO
  • Correct the entries
