To deal with an ‘
Employer Address Amendment Notification’
follow steps 1 - 7 below.
For details of how to access any of the Employer Business
Service functions use the [Index of Functions] button on the left
of the screen.
- Use Function VIEW EMPLOYER NOTES and check the employer record pad
Note: If the address is a foreign address you must check that the country is correctly shown and that the abroad indicator has been set.
- If the information recorded or your local knowledge suggest the new details are correct, go to step 5
Otherwise
- Go to step 2
- Use Function AMEND EMPLOYER SUMMARY to enter the correct details in the Business Address field
- Select the [Search] button to access Function ADDRESS SEARCH and search for the address provided
- If a match is found select the [OK] button to store the new address on the employer record
Note: You must remove any entry in the Additional Delivery Information field as this information will relate to the old address
- If no match is found enter the address manually. Ensure the address consists of no more than three lines consisting of a maximum 28 characters. a fourth line of 18 characters and the postcode
Note: Where an address consists of more than four
lines you must reduce its size, for example, retain the town name
in preference to a county
When you are satisfied with your entries
- Select the [OK] button to store the new address on the employer record
Notify the Associated Debt Management Office of the action you have taken and the evidence on which it was based
- Use Function AMEND EMPLOYER NOTES to record your actions and
then file the papers in the employer record pad

In all cases, inform the CT or SA section of the
new business address, if appropriate
- If you are updating the address between July and November you must use Function WORKLISTS to check the ‘Employer Address RLS’ Work List
- If employer reference is included in the Work List delete the item
Otherwise
- No further action is required
Magnetic media employer
- Use COP Function ED to check whether any of the following magnetic media indicators are set
- MTL (Magnetic Tape List)
- MTP6 (Magnetic Tape P6)
- If an indicator is set go to step 6
Otherwise
- No further action is required
- Ask the employer to complete a Notification of Changes form
(Appendix D in MT1 Specification) and return it to you. Advise the
employer how
to obtain a copy of the technical
specification online from the HMRC Internet site
- On receipt of the completed form forward it to the appropriate Data Centre and use Function AMEND EMPLOYER NOTES to record your actions
