You must know one of the following before you attempt to
trace the employer record
- The employer’s name
Or
- The employer’s address
If only the employer’s name is known, the search is
unlikely to be successful. Similarly, where only the address is
known, the search is unlikely to be successful. The name and
postcode or some address words are usually necessary for a
successful search.
For the computer to make a successful search, it must be able
to identify the record from the information you enter. Always aim
to
- Enter the minimum amount of information
- Select details which are least likely to appear on other records
Follow these rules
- Do not
- Enter the whole of the employer’s name
- Include Ltd or PLC
- Include punctuation in the name
- Enter the whole of the employer’s address
- Enter the street number if it is below 100. Low numbers are common and will not reduce the search time
- Do
- Complete the minimum number of fields
- Avoid common words that appear in many addresses
- Shorten long names or words to the first four or five letters followed by a hyphen. The use of a hyphen is explained in PAYE22015
- Leave a space in place of punctuation in the name
