PAYE20055 - employer records: set up employer record: NESI new employer stencil


When a request for a new employer scheme is received from an employer, contractor or agent, who telephone the Processing Office, they should be asked to contact the New Employer Helpline at NESI in one of the following ways

  • A telephone call to NESI
  • Sending their new employer details to NESI through the New Employer Helpline email facility

unless the scheme type required is one of those shown at PAYE20170, where the Responsible Office deal with setting up the record.

Any written notification, either by post or by fax, must be dealt with at the Processing Office.

If a new employer record is set up by any method other than by staff at NESI, you may need to notify NESI of the new employer or contractor details. The Action Guide relating to each scheme type will tell you if this is necessary.

It is essential that when you need to complete a Notification to NESI fax stencil you send the completed stencil by fax to the Helpline on the day the employer record is set up.

In most cases this is the only method available to ensure the new employer or contractor will receive a starter pack from the mailing contractor.

Note: It is important to ensure where an employer or their payroll agent does not require an automatic starter pack to be supplied this is clearly stated on the stencil

The information you need to complete the stencil will depend on the scheme type for the employer record that is to be set up.

The stencil asks for the following information

  • PAYE and Accounts Office reference numbers
  • Business Name and Trading Name
  • Business Address
  • Telephone Number, Fax Number (including STD code), Mobile and Email address
  • Agent / Correspondence details (as above)
  • Scheme Type
  • Nature of Business
  • Company Registration Number
  • Number of Employees (including directors)
  • Directors / Partners names
  • Directors / Partners National Insurance Numbers
  • Directors / Partners private addresses
  • Directors / Partners dates of birth
  • Number of Subcontractors (Construction Industry)
  • Stationery requirements (starter pack 'required' or 'not required'
  • Date first employee started
  • Date of first pay day and their frequency (weekly or monthly)
  • Whether Payroll Software is used (and if so which software)

The stencil also requires your office date stamp to be impressed and your name entered. Details must be completed in BLOCK CAPITALS in either blue or black ink.
