A taxpayer surname and forenames can be viewed using TBS functions

If full forenames are not held on the record, the first initial of the taxpayer is shown in the first forename field and the initial of the second forename is shown in the second forename field.

Entering or amending a taxpayer name on the taxpayer record

It is no longer possible to enter or amend the taxpayer name in COP, other than in COP Function MS.

The taxpayer’s title, forenames, surname and honours can only be entered or amended in TBS Function AMEND TAXPAYER DESIGNATORY DETAILS. The taxpayer’s title, surname and forenames can also be amended in TBS Function AMEND NINO, but only selected specialist offices have access to that function.

Long names

If a surname is too long to fit in to the 35 character field in TBS, an abbreviated name must be entered. It follows that in this event the taxpayer name will be again truncated on COP because it exceeds a maximum of 28 characters. Similarly, if the forenames are too long to fit in the appropriate fields in COP they will be truncated. See PAYE104115.

When it is necessary to enter an abbreviated name

• Agree with the taxpayer, if possible, an abbreviated name and enter this in the appropriate name field
• Make a note of the unabbreviated name in COP ENOTES

Taxpayer name history

Any changes to a taxpayer name will result in an historical record being created.

Changes to a taxpayer’s name and the date those changes were made on the taxpayer record can be viewed in TBS Function VIEW TAXPAYER DESIGNATORY DETAILS. The function allows you to view the current name and any historical names held on the taxpayer record.
