PAYE103048 - Individual records: maintain individual details: non CESA: amend agent details (Action Guide)

When notified of changes to existing agent details, follow steps 1 - 14 below. This guide is presented as follows

Initial action

1. Select Agent in the Navigation Menu in the Individual Summary screen

Amend agent

2. Select the Edit Record icon next to the agent details you want to amend
3. Overwrite the details to be amended. Any changes to the postcode or house number will be validated by Quick Address Search
4. Select the [Submit] button to record the changes on the computer system
5. Update Contact History

a. There may be some records migrated to the PAYE Service with a ‘full stop’ in the Agents Name field. This occurs because a ‘full stop’ is an acceptable character in COP but the PAYE Service does not accept a ‘full stop’ in this field. If you try to make any amendments before removing the ‘full stop’ you will receive the error message ‘Agent name contains invalid characters’.
b. There may also be some records migrated which contain ‘slashes / dashes’ as part of the agent client reference details but the PAYE Service does not accept anything that is not alpha numeric in the agent client reference details fields. If you try to make any amendments before removing the ‘slashes / dashes’ you will receive an error message.
c. When the address details held on COP are migrated to the PAYE Service the ‘Country’ field will default to ‘NOT SPECIFIED OR NOT USED’ and any entry in the postcode field will be removed.
d. There may also be some records where a ‘start date’ only is shown for an agent. If the existing agent details are incomplete, you must either update or delete the incomplete agent details held, depending on whether current agent details are known. You will be unable to [Save] and exit the ‘Agent Details’ screen where the incomplete details are held.

Delete agent

6. Select the Edit Record icon next to the agent details you want to delete
7. Select the [Delete] button to delete the agent details from the computer system
8. Update Contact History
  Note: You should only delete agent details if you have previously entered them in error or if the details are incomplete and you are unable to retrieve correct agent details.

Cease agent

9. Select the Edit Record icon next to the agent details you want to cease
10. Check the ceased flag indicator box to set an end date on the computer system
11 Uncheck the P2 to Agent box on the Indicator Details screen
12. Select the [Submit] button to save the details on the computer system
13. If you receive correspondence stating that an agent is no longer acting, deal with all aspects of the correspondence then send it to
