PAYE103015 - taxpayer records: maintain COP record: COP function TA

COP Function TA (Taxpayer Amendment) is used to maintain a taxpayer's record. Anyone with the appropriate access can use this function to amend any of the following items on a taxpayer's record, where your taxpayer is not within the SA system

  • Record type
  • Grade of case
  • Specialist case

You can also set the following signals

  • Agent acting (AGENT)
  • B/F indicator (BF)
  • Director (DIR)
  • Date of marriage (DOM)
  • Date of separation (DOS)
  • District record references (DR)
  • Add Essential Notes (ENOTE)
  • Add Historical Notes (HNOTE)
  • File case indicator (FILE)
  • Higher rate (HRS)
  • Inspector only (INSP-ONLY), this signal can only be set or deleted by an Inspector
  • Location of file after conversion to SRS (FILE-IN-DR) followed by
  • District number

And

  • Year of conversion
  • Manual correspondence to employer (MCOEMP)
  • Manual correspondence to taxpayer (MCOTP)
  • Manual review (MREV)
  • No movement (NOMVT), this signal can only be set or deleted by an experienced officer
  • No repayments to be made (NOREP)
  • No record for husband (NRH)
  • Occupational pension (OCPN)
  • Potential assessment (POTA)
  • P2 issued to agent (P2TOAGENT)
  • P231 issue (P231)
  • Spouse date of birth (SDOB) (where PCESS or DECD is set). This may be
  • Set

Or

  • Amended

But

  • Not deleted
  • Special care (SPEC)
  • Sub source, self (SUB)
  • Tronc scheme (TRONC)

TA can be used to enter or make amendments to the following

  • GCD
  • Office number (as District number)

And

  • Reference
  • Spouse's
  • National Insurance number
  • Name

And / or

  • Known as name
  • Agent's
  • Name
  • Address

And

  • Reference

When not to use TA

You cannot use COP Function TA to amend a taxpayer’s

  • Title
  • Initials
  • Forename(s)
  • Surname
  • Honours
  • Address

You cannot use COP Function TA to set or unset the following signals

  • Permanent cessation (PCESS)
  • Address not known (RLS)
  • Address abroad (ABROAD)
  • Date of Birth (DOB)
  • Deceased (DECD)
  • Date of death (DOD)
  • Set or amend the sex indicator

In these circumstances you will need to use Taxpayer Business Service (TBS) Function AMEND TAXPAYER DESIGNATORY DETAILS.
