PAYE102026 - taxpayer records: finding a taxpayer record: TBS function find taxpayer (Action Guide)
Follow steps 1 - 6 below when you want to trace a taxpayer using TBS Function FIND TAXPAYER. This will enable you to attempt to find a taxpayer using search criteria. You will be able to enter various data items and the function will then find the taxpayer from the Primary Tracing database. All taxpayers returned are displayed within a list box on the same screen. Once displayed you can sort and / or filter the records.
- From the TBS 'Function Menu'
- Select 'Find Taxpayer'
- Select the [OK] button
- In the ‘Find Taxpayer’ screen, you must enter
information to find a taxpayer. It is best practice to search in
the following order
- Full surname and date of birth. See note a below
- Full surname and postcode. See note a below
- Postcode and first character of surname followed by #
- Postcode only
- Full address without postcode
Notes:
a) Ignore hyphens, apostrophes and spaces in the surname, for example, O'Neill, oneill; St John, stjohn; Bowes-Lyon, boweslyon
b) Do not use the NINO or SA UTR as a criterion
- Select the [Find] button to make the search
You will get either a message telling you there is no matching
record or a list of the first 50 matches, best match first.
- You can filter / sort the list using the 'Order' menu
- To check you have the correct person
- Highlight the name you want
- Select the [More Info] button
- Select the [OK] button to return to the 'Find Taxpayer' screen
- When you are sure you have the correct taxpayer
- Select the [OK] button to go to the 'View Taxpayer Summary Details' screen
Note: You must use TBS first to trace a taxpayer record but there are two COP functions, 'COP Function TI' and 'COP Function TR' that allow you to trace a COP record. Further guidance on these subjects is available at PAYE102010 and PAYE102015.
