Manually Capture Annual Declaration (Info)

An Annual Declaration is given
- In writing by completing the
- Form TC603D, if the claimant is required to confirm their income for the Previous Year (PY)
Or
- Form TC603D2, if the claimant is required to confirm their actual income for PY-1 as well as confirming their income for PY
- Verbally during a telephone call to a Contact Centre adviser
Or
- Verbally or in writing during a local interview at an Enquiry Centre, Department for Work and Pensions (DWP) or Department for Social Development (DSD). These will be forwarded on for scanning at Netherton. Any change of circumstances provided to an Enquiry Centre officer will be captured and then sent to storage
Note: The Enquiry Centre operator must date stamp the Annual Declaration on the left hand side under the HM Revenue & Customs (HMRC) logo
This process concentrates on capturing Annual Declarations (form TC603D or TC603D2) manually, which have not been captured through Rapid Data Capture ( RDC). Although if you are working the 'Unprocessed S17' Work List and you have a reason of 'Incomplete' or 'PY-1 Incomplete', you can follow this instruction when you have the information to capture.
If you do follow this instruction because the 'Unprocessed S17' Work List has a reason of 'Incomplete' or 'PY-1 Incomplete', you must note the following
- If the RDC scanner could not read / interpret the entry in a specific box, it will display a question mark character (?) to indicate that a response was present which was unintelligible
The ethnicity details provided on the Annual Declaration cannot be manually captured. Ignore these details.
