Handling Incoming Post Received With A Claim Form (Info)
There is an Action Guide for this subject, click on 'Next Page' to access it
Post received at the RDC Processing Centre at Netherton is sorted by ASPIRE staff. HM Revenue & Customs (HMRC) staff in Netherton receive the post sorted and separated, but not date stamped, into the following
- Claims with attachments
- Claims with an attached form TC600A. Including claims
- With more than 1 form TC600A
- Received with a form TC600A, but the barcodes do not match
- Received with a form TC600A, but the barcode is damaged and the 2 forms cannot be linked and scanned together
- Special needs claims
- Correspondence. Including form TC600As received without a claim form
- Claims made on previous versions of the claim pack
- Other claims without attachments
Claims with attachments
Claims with attachments are not processed through the Rapid Data Capture (RDC) scanner and therefore, the claims are kept with the attachments and passed to you in date order. You must consider
- Whether you can process these claims without the attachments
Or
- Whether the claims will need to be manually captured
- If there is an attachment that relates to an outstanding Disability Living Allowance (DLA) claim for a child in the family or the claimant or their partner, the claim will need to be manually captured and the information that DLA has been claimed will need to be entered in the Application Notes field in Function CAPTURE APPLICATION
Claims with an attached TC600A
Most claims with an attached form TC600A are scanned. However, it is necessary to manually capture claims that have
- More than 1 form TC600A attached
- A form TC600A attached, but the barcodes do not match
- A form TC600A attached, but the barcode is damaged and the 2 forms cannot be linked and scanned together
Special needs claims
Large print claims do not go through the RDC scanner and claims in the Welsh language must not be scanned. ASPIRE will send you claims of this type for you to consider where these claims need to be sent for processing.
Correspondence
You will receive all correspondence unstamped. You must consider where to send the correspondence for processing.
Other claims without attachments
Claims without attachments and those that are not recognised as being Special Needs are scanned.
All claims and correspondence, passed to you by ASPIRE will still be in the original envelope.
Claims received at Netherton will have been date stamped by other Government departments, such as the Department for Work and Pensions (DWP), the Department for Social Development (DSD) or an Enquiry Centre. The date on which the claim was received in DWP, DSD or an Enquiry Centre should be used as the date of receipt for tax credits.
