Reissuing An Applicant Notice (AG)

To issue either a duplicate or a copy applicant notice, consider steps 1 – 8 below. The guide is presented as follows

1On the Function Menu
  • Select 'Renewal' on the toolbar menu
  • Select 'Re-issue Notices' from the options available. You will be taken to Function REQUEST REISSUE OF NOTICE
  • Go to the Request Re-issue Of Notice screen
  • Check whether the screen indicates that the RLS or Deceased signal has been set

Note: If the claim is rejected a Deceased signal will not be displayed. If

  • The Deceased signal is displayed, go to step 2
  • The RLS signal is displayed, go to step 5

Or

  • Neither of these signals has been displayed, go to step 6

2Use Function VIEW APPLICATION and go to the Application Summary screen and check the status of the claim in the Application Status field
  • If the status is 'Finalised Award', go to step 4

Otherwise

  • Go to step 3
3If the status does not show 'Finalised Award', the familyhas not ended
4Use Function VIEW AWARD and go to the Award Summary screen to check the Issue Date field for the date the Award Notice was issued
  • Use Function MAINTAIN HOUSEHOLD NOTES to enter the following message

'TCMZ Copy Notice requested. Deceased claim. MCT Issue Notice dated DD/MM/YYYY'

You must follow the guidance in How To Correctly Complete Application And Household Notes when you record the note

And also

Follow the guidance in Maintain Household Notes

Then

  • Go to step 6

5Where an RLS signal is displayed

Note: If the notice was already on the ‘Household RLS’ Work List, it will be automatically issued once the RLS issue is resolved. However, if after following the above guidance you still consider that it is appropriate to reissue the notice, go to step 6

6On the Function Menu
  • Select 'Renewal' on the toolbar menu
  • Select 'Re-issue Notices' from the options available. You will be taken to Function REQUEST REISSUE OF NOTICE
  • Go to the Request Re-issue Of Notice screen
  • Click on the notice to be reissued in the Notice Details box to highlight it

Note: You can only re-issue a notice that has already been issued. If the notice does not have an issue date in the Notice Details box, it cannot be re-issued. Make sure you are issuing the correct notice by checking the entries in the Issue Date and Notice Type columns, wherever possible

  • Click on the Duplicate or Copy radio button as appropriate in the Select Reason for Issue field to indicate which type of notice you want to reissue
  • If the claimant requests a paper copy of their notice and they are registered to receive their notices electronically, tick the Override Electronic Output checkbox in the Electronic Output field. The computer will then issue a paper copy to the claimant's address

Then

  • Click on the [OK] button

Note: If the computer warns you that the maximum number of duplicates have been issued, you must consider issuing a copy award notice instead. It is not possible to issue 2 duplicate notices on the same day

If you are issuing a copy of an unsigned award notice

  • Go to step 7

Otherwise

  • Go to step 8

7The computer will ask you if you want to Adjust The Award Reminder Cycle
  • If you do not consider it is appropriate to extend the reminder cycle, go to step 8
  • If you do consider it is appropriate to extend the reminder cycle, follow the guidance in Award Notice Reminder Cycle to make the adjustment

Once the reminder cycle has been adjusted, you will be returned to the Function REQUEST REISSUE OF NOTICE

  • Click on the [OK] button, to confirm the issue of the notice

Note: The message asking if you want to extend the reminder cycle will be displayed twice. On the second occasion you should select No. The message will then display to confirm the issue of the notice ‘This request has been processed. Do you wish to issue a further notice?’ Unless you wish to re-issue a second notice you should select No

8Use Function MAINTAIN HOUSEHOLD NOTES to record the reason for
  • Reissuing the notice

And

  • Extending the reminder cycle (if appropriate)
