Issuing A Manual Notice (AG)

To issue a manual notice to the claimant, consider steps 1 - 7 below

1Use Function VIEW AWARD and go to the Application Information Summary screen to determine whether the notice needs to be issued in a Special Needs format
  • If the notice does need to be in a Special Needs format make a note of which special need format is required

And

  • Check the Unsigned checkbox within the Signals Box to establish if a signature is required

Note: The Unsigned checkbox will be ticked if a signature is required

2If you are completing either an award notice or a reminder notice
  • Use Function VIEW AWARD and obtain the details from the screens

And

  • Complete the relevant manual notice
3If you are completing a decision (rejection) notice
  • Use Function VIEW APPLICATION and obtain the details from the screens

And

  • Complete the relevant manual notice
4If the reminder notice or award notice you are completing
  • Requires a signature, go to step 5
  • Does not require a signature, go to step 6

5Before issuing a manual reminder notice
  • Consider whether the claimant will require an extension to the reminder cycle, to ensure they have 14 days in which to return the award notice

6If you have identified that a special needs notice is
  • Not required, issue the manual notice, go to step 7
  • Required in Welsh, send the completed manual notice for translation to
  • Ty Moelwyn, Brittania Terrace, Porthmadog, Gwynedd, LL4 9MB using Tax Post Direct, go to step 7
  • Required in Braille, large print or audio tape or disc, send the completed manual form with form TC648 to advise the Visually Impaired Media Unit (VIMU) of the action required, go to step 7

VIMU will issue the converted manual notice to the claimant. Follow the guidance in Claim Requests

  • Type of manual notice you have issued

And

  • Date of issue

For example ‘Manual Award Notice issued dd/mm/yy’
