Sifting TC600 Claim Forms At Netherton (AG)


To sift correspondence from TC600 claim forms prior to capture, consider steps 1 - 7 below

1Netherton staff collect the TC600 claim forms with attachments that are set aside by Fujitsu at regular times of the day depending on volumes
  • Note the intake of work on the whiteboard
     
  • Go to step 2
2Take a tub of work from the trolley ensuring the oldest date is taken first
  • Remove the claim form and attachment(s) from the envelope. Ensure nothing is left in the envelope
     
  • Check all pages of the claim form. Look out for post it notes or small pieces of correspondence containing information

Note: If the tub contains recorded/special delivery envelopes, complete the delivery spreadsheet with all relevant details

  • Go to step 3
3If the claim form is
  • Priority 1 – identified by a red ‘Priority 1 COCs Team’ stamp on the envelope or claim form
     
  • Fast Track – identified by a fast track stencil with the claim form
     
  • A photocopy
  • Date stamp the claim form in red using the small date stamp
     
  • Put your initials in the top left hand corner
     
  • Put all the correspondence and the claim form back in the envelope and place in appropriate tray
     
  • Take no further action
  • None of the above
  • Go to step 4
4Follow the guidance in Pre Capture Checks – Manual Capture Team 
  • If the claim form does not need referring, go to step 5
     
  • If the claim form needs referring
  • Date stamp the claim form in red using the small date stamp
     
  • Put your initials in the top left hand corner
     
  • Put all the correspondence in the claim form
     
  • Put the claim form in the Compliance IN tray
     
  • Take no further action
5Establish what the correspondence is with the claim form
 

If the correspondence is

  • Information relating to a change in the claimants circumstances, relevant correspondence or item(s) of correspondence relating to Tax Credits
  • Date stamp the correspondence using the big date stamp
     
  • Write the NINO or Date of Birth on the correspondence
     
  • Place the correspondence in the Preston Post Room IN tray
  • A Request for Backdating
  • Date stamp the correspondence using the big date stamp
     
  • Write the NINO or Date of Birth on the correspondence
     
  • Date stamp the TC600 claim form in red using the small date stamp
     
  • Put your initials in the top left hand corner
     
  • Put the correspondence in the claim form
  • A Child Benefit Form
  • Date stamp the Child Benefit claim form using the big date stamp

Note: Do not date stamp or staple any valuable items

  • Place the correspondence, including birth certificates inside the Child Benefit claim form
     
  • Put the Child Benefit claim form in the Child Benefit IN tray
  • A Notification of death
  • Date stamp the correspondence using the big date stamp

Note: Do not date stamp or staple any valuable items

  • Write the NINO or Date of Birth on the correspondence
     
  • Date stamp the TC600 claim form in red using the small date stamp
     
  • Put your initials in the top left hand corner
     
  • Put the correspondence in the claim form
     
  • Put the claim form in the Priority 1 IN tray
  • Non Valuable or non relevant item that belongs to the customer
  • Complete the returns letter using mail merge, use the address on the claim form
     
  • Place the letter and correspondence in a sealed envelope
     
  • Place the envelope in the NTC post out tray
  • Valuable item
  • Put all the correspondence and the claim form back in the envelope
     
  • Date stamp the envelope using the big date stamp
     
  • Pass to the valuables clerk
  • A form for
  • Self Assessment
     
  • Stamp Duty
     
  • Construction Industry
     
  • Health In Pregnancy Grant
  • Date stamp the correspondence
     
  • Pass to relevant team in Comben House
  • Another government department
  • Date stamp the correspondence using the big date stamp
     
  • Send the correspondence back to the claimant
     
  • Date stamp the TC600 claim form in red using the small date stamp
     
  • Put your initials in the top left hand corner
  • Any other HMRC correspondence
  • Date stamp the correspondence using the big date stamp
     
  • Place the correspondence in the Preston Post Room IN tray
     
  • Date stamp the TC600 claim form in red using the small date stamp
     
  • Put your initials in the top left hand corner

Note: If you are unsure speak to your manager

Then

  • Go to step 6
6The only claim forms that must be manually captured are
  • Welsh language claim form
  • Date stamp with the big date stamp
     
  • Send to the Welsh language Unit

  • Those with damaged barcodes
     
  • Badly damaged forms, including those with missing pages
     
  • Those with burnt pages
     
  • Large print claim forms
     
  • Claims with 2 additional child or childcare provider pages attached
     
  • Those were the barcode on the TC600 & TC600A are different
     
  • Old claim forms

Then, if

  • The claim form requires manual capture
  • Date stamp the TC600 claim form in red using the small date stamp
     
  • Put your initials in the top left hand corner
     
  • Place the claim form in the manual capture tray
     
  • Take no further action
  • None of the above apply
  • Go to step 7
7If the claim form can be captured by Rapid Data Capture (RDC)
  • Put your initials in the top left hand corner
     
  • Put the claim form in the original tub with the header sheet on the top initialled and dated
