IHTM39072 - Correspondence on closed files: retention and destruction of papers
Once the correspondence has been dealt with and appropriate
Compass note made the papers will need to be retained for a period
before destruction.
The post that has been retained from the Dividing Table/Admin
desk needs to be kept in date order and held in a specified area in
each caseworking team.
It is the responsibility of the person who is dealing with
the closed post to ensure that the post they have dealt with is
filed in date order and that all post from that day is retained
together. A bundle should be made of the days post, clearly marked
with the date the post was received on the Dividing Table/Admin
Desk. This ensures post can be easily retrieved.
The post will be retained for four months and then destroyed.
The team dealing with closed post will be responsible for the
destruction of the post that becomes four months old. Th eold post
should be shredded using the shredders in your local area.
The only pieces of post to be retained over the four month
period are:
- Sect6's when payable orders have been issued should be attached to the file
