IHTM39061 - Correspondence on closed files: introduction


Correspondence that arrives in the Nottingham, Edinburgh or Belfast Offices on all cases dealt with without calling for the file from Store where possible. The reason for this is to reduce costs in relation to the handling and storing of paper. This is also an area of Service work that can be dealt with much more quickly without calling for the file and therefore making sensible savings.

The post for these cases is sifted on a daily basis at each location by the divider/sifter. It will be sorted into two categories

  • Post that can be dealt with without the file
  • Post that needs to be linked to the file

The divider will deal with the post that can be dealt with without the file and make an appropriate note on Compass. The post that needs the file calling from Store will be returned to the postroom/registry as appropriate
