IHTM32087 - Progress reviews on Compliance Group (CG) cases: older files

An ’older file’ is defined for these purposes as one that has been open for three years from creation or reopening. As for earlier reviews post 36-month reviews should generally take place at 6 monthly intervals. Where the case is only open for Heritage matters or is awaiting the outcome of litigation dependent on a decision by the First-tier Tribunal, Lands Tribunal or a Court of Law, you can set a review date beyond the 6-month period.

Each quarter managers will be sent a list of cases which will become 3 years of age during that quarter and another of existing open cases over 3 years old. (The second list will enable caseworkers and managers to identify cases that have been closed during the previous quarter).

Managers will use these lists to notify team members of the review date for a particular case. Once the relevant review is completed it is then up to the manager to monitor that subsequent reviews are completed. Managers must keep records to show that the case reviews are being completed at the correct intervals

For the 36-month and subsequent reviews you must complete form Cap 2 (IHTM32088). Both the caseworker and the manager will be involved in all of these reviews.

Managers must ensure that all cases, once they reach four years of age, are referred to the Assistant Director. Refer the file, via their Personal Assistant, once you have completed the first managers review, after the case has been open for four years.
