Purpose of the list

There are two versions of the ‘Case Records Changes List’.

  • Function CRCL is the update version
  • Function CRCV is the view only version

The purpose of this work list is to show you a list of

  • Companies that have received an amendment to their designatory data from Companies House and require some manual intervention

Or

  • Unincorporated associations that have received an automatic change to their name and / or address.

How often should the list be reviewed?

Local Management should ensure that the work list is reviewed on a regular basis.

Who does what?

A Clerical Caseworker normally reviews and controls the list.

When are new entries added?

COTAX adds new entries to this work list daily.

Reasons for entry

COTAX enters a case on the ’Case Records Changes List’ when an amendment to a company’s designatory details has been received from Companies House for one of the following criteria and requires some manual intervention

  • Amendment received and duplicate CRN
  • Update received for ceased case
  • Possible insolvency case
  • Insolvency end date received
  • Name too long
  • Name has invalid characters
  • Address too long
  • Address has invalid characters
  • New address - Welsh language signal set
  • Invalid postcode
  • Date of intent to strike off received
  • Struck off date received
  • Case restored at Companies House

Or there is an

  • Automatic change to a company with status of ‘L’ or ‘R’ and
    • The company name has changed
And / or
    • The postcode of the office address has changed and suggests a change of the default responsible office

Sorting and filtering options

Before you start to work cases, you may want to sort and filter the work list to make it more manageable. You can do that by using any of the criteria below.

  • Reference
  • Name
  • Entry date
  • B/F date
  • B/F note
  • Change of name
  • Name too long
  • Name has invalid characters
  • Change of address
  • Address too long
  • Address has invalid characters
  • New address - Welsh language signal
  • Invalid postcode
  • New owning office ID
  • Update for ceased cases
  • EIP signal
  • Possible insolvency
  • Insolvency end date
  • Date of intent to strike off
  • Restored to Companies House register

The normal next action function

The normal next action function for the ‘Case Records Change List’ is

  • VTPR (View Company Details)

Automatic deletion

Cases are automatically deleted from the work list when one of the following apply

  • The company name or address has been manually changed
  • A ceased date has been added to the company record
  • The case is transferred to a new office
  • A subsequent structured action request (Word 29kb) change to address means the case should remain in the existing office

Manual deletion

You can delete the case manually from the list.
