COM42010 - Case records: amending case records: abbreviated company names

COTAX has the capacity to store company names in 2 lines of 28 characters each.

Where the company name exceeds this length, the case is listed on Work List LNTC (List of New and Transferred Cases). You will need to decide on an abbreviated name and enter it using Function ACNA (Amend Company Name / Address) and then use Function ACTP (Amend CT Payers Details) to issue a form CT41G.

Form CT41G invites the company to suggest an alternative abbreviation where required. If the company supply an alternative you should use it wherever possible, otherwise try to agree an acceptable alternative with them.

When you are unable to reach agreement, use an abbreviated name that

  • Meets, as far as possible, any objections raised by the company

And

  • Avoids confusion with any similarly named company, such as a company in a group with the same Registered Office address

When a company name includes characters or symbols that are not acceptable to COTAX, the case will appear on LNTC (List of New and Transferred Cases) so you can agree an abbreviation or alternative which is mutually acceptable to both HMRC and the company.
