COM41035 - Case records: case responsibility: receipt in debt management office of transferred case (Action Guide)

To decide what action to take when a case is transferred to your office, consider steps 1 - 7 below. The guide is presented as follows

All cases Step 1
Case proper to your Debt Management office Steps 2 - 3
Case not proper to your Debt Management office Steps 4 - 5
County Court cases Step 6
Further transfer necessary Step 7

All cases

1. On the day of receipt of the IDMS transfer sheet and any papers
 
  • Check that the company’s address for recovery is within your area
 

And

 
  • Use Function VTPR (View Taxpayer) option 2 to check who has responsibility for the case

Case proper to your Debt Management office

2. If your Debt Management office numeral is shown on COTAX
 
  • Take appropriate action to obtain payment of collectible amounts
 

Where the case has been transferred because there is an alternative address for recovery in your Debt Management office area

 
  • Record the alternative address with a suitable explanation on IDMS. Information on how to do this can be found in the IDMS Support Officers Pack
3. If your Debt Management office numeral is not shown on COTAX
 
  • Telephone the Debt Management office whose numeral is shown and ask them to correct the record to show your Debt Management office numeral
  • Use Function VTPR (View Taxpayer) option 2 the next working day and check that the change has been effected
  • Take the appropriate action to obtain payment of collectible amounts

Case not proper to your Debt Management office

4. If the Debt Management office numeral shown in Function VTPR is yours
 
  • Use function TRCA (Transfer Case(s)) to transfer the case
  • If necessary, use the Transfer function on IDMS
  • Forward any papers to the correct Debt Management office
5. If the Debt Management office shown in Function VTPR refers to another Debt Management office
 
  • Send the papers to that Debt Management office

6. If form C514 or C28(Z) is received with the IDMS transfer sheet (England and Wales)
 
  • Take action as in Recovery Manual REC4328

7. If, after accepting a case from another office, you need to transfer it to another Debt Management office
