Purpose of the list

There are two versions of the ‘Capture CT Survey Data List’.

  • Function CTCS is the update version
  • Function CTCV is the view only version

The list is intended to draw your attention to all cases for which CT survey data needs to be captured for the first time.

Note: CT Survey data may need updating in a continuing case, but the computer will not draw your attention to these cases.

How often should the list be reviewed?

You use Function CSVY (Capture CT Survey Data) to record the Survey information for CTSA APs. As the return and accounts that you need to record the Survey data are available at the time the returns are captured, Local Management may decide that Technical Caseworkers or CT Co-ordinators should review the list shortly after return capture. This will reduce the number of times the return needs to be handled.

The list should be reviewed monthly to make sure no cases are overlooked.

Who does what?

If Local Management decide that cases without survey data should be dealt with soon after the return is captured

  • The Clerical Caseworker will note returns where they receive an advisory message at the end of Function CRTN (Capture Rest of Return) ‘No survey score exists for this case pass to Technical Caseworker to use function CSVY’
And
  • Link the return with the file to pass to a CT Co-ordinator or Technical Caseworker to use Function CSVY (Capture CT Survey Data)

Otherwise, an Administrative Assistant will normally review and control the work list, referring the cases and files to a CT Co-ordinator or Technical Caseworker.

When are new entries added?

Cases appear on the ‘Capture CT Survey Data List’ daily when they fit the criteria for selection.

Reasons for entry

COTAX enters a case on the ‘CT Capture Survey Data List‘ when

  • A return is captured for a CTSA AP
And
  • There is no previous survey data held on the COTAX record

Sorting and filtering - Options and recommendations

Before you start to work cases, you may want to sort and filter the work list to make it more manageable. You can do that by using any of the criteria below. The criteria shown in bold are those you may find most useful when filtering the ‘CT Capture Survey Data List’

  • File number
  • Name
  • AP end date
  • AP number
  • B/F date
  • B/F note
  • E-filed Return
  • Entry date
  • Reference

The normal next action function is

  • CSVY (Capture CT Survey Data)

Automatic deletion

Cases are automatically deleted from the work list when any of the following applies

  • The Return is unlogged
  • Function CSVY (Capture CT Survey Data) is used
Or
  • The case is transferred to a new office (the case automatically appears on the new office work list)

Manual deletion

You can manually delete a case from the ‘CT Capture Survey Data List’.
