ADDM257 - ADD user guidance: person trace (action guide)


To trace a customer or an organisation using the Access to DWP Data (ADD) system, consider steps 1 to 8 below. The guide is presented as follows

Initial action

1.If you
  • Know the NINO of the customer you are attempting to trace, from the ADD Home screen
    • Enter the NINO
    • Click on the [Account Summary] button. You will be taken to the Account Summary screen
    • Click on the [Verify to confirm the customer’s details
  • Do not know the NINO or the NINO does not relate to the customer you are attempting to trace, go to step 2
2.The actions you can take are dependant on the user role you have been allocated
  • To conduct a Person Trace
    • Click on the Person Trace hyperlink

Then

  • Go to step 3
  • To trace a Corporate Organisation
    • Click on the Corporate Organisation

    Then

    • Follow the guidance in Corporate Organisation ( ADDM242)
    • To trace the occupants of a particular address
      • Click on the Person Trace hyperlink

    Then

    • Follow the guidance in Address Trace ( ADDM218)

Person Trace

3.In the Person Trace screen, you can enter personal details into any of the fields.
Note: However you must always use any of the following allowable minimum combinations
  • Surname and forename(s)
  • Surname and date of birth
  • Forename(s) and date of birth
  • NINO and surname and initial
  • NINO and date of birth

Note: If an approximate date of birth is known, then dates can be entered in the Date of Birth Start and Date of Birth End fields to create a range. The range cannot be greater than 10 years. If the exact date of birth is known, this should be entered in the Date of Birth Start field

  • Address line 1 and postcode
If you
  • Know the possible NINO of the customer, go to step 4
  • Do not know the possible NINO of the customer
    • Enter the known personal details
    • Click on the [Trace] button. The trace results will be displayed in the Person Trace Result table at the bottom of the screen
    • Go to step 5
Notes:
1. A maximum of 8 characters can only be entered in the Post Town field
2. When entering Address Line 1 as part of the search criteria, you should initiate a trace using the abbreviated version of Rd, St, Av
4.The NINO field on the Person Trace screen relates to a possible NINO only
  • If you know the correct NINO, go back to step 1 and enter the NINO in the ADD Home screen
  • If you know the possible NINO
    • Enter this NINO in the Possible NINO field
    • Enter any other personal details in the appropriate fields

Note: It is important that you enter the other trace criteria in addition to the possible NINO in order to return a successful trace

  • Click on the [Trace] button. The trace results will be displayed in the Person Trace Result table at the bottom of the screen
  • Go to step 5
5.If, after checking the Person Trace Result table you are
  • Successful in your trace, go to step 6
  • If you receive the message ‘No Records Found’, go to step 7
  • If multiple results are displayed, scroll through the results to find the correct match. The results table will be ordered by surname and then by forename in alphabetical order. Once the correct match has been identified, go to step 6
  • If you receive the message ‘Trace has returned more than 100 records, try narrowing the search parameters’, go back to step 3 and refine the trace by entering more personal details

Note: When there are more than 100 records returned, the first 100 results will be displayed in the Person Trace Result table

Successful Person Trace

6.If the customer you are tracing is found
  • Click on the NINO for the appropriate individual. You will be taken to the Account Summary screen. Follow the guidance in Account Summary ( ADDM206)

Unsuccessful Person Trace

7.If the customer you are tracing is not found
  • Go back to step 3 and enter more personal details. Consider using a Relaxed Name Trace, Multipart Surname Trace and Include Historic Records in the search

Or

  • Attempt a Wildcard Trace, go to step 8

Attempt Wildcard Trace

8.To conduct a Wildcard Trace, place an asterisk (*) to indicate a string of 1 or more unknown characters in the any of the following fields
  • Surname
  • Forename
  • Address line 1

Note: A minimum of 3 characters must be entered followed by a (*) to initiate a Wildcard Trace

An exception to the above is where you know the surname and only the first initial of the forename. A Wildcard search can be made on this by entering

  • Surname - Bloggs
  • Forename - J

An asterisk is not required for this search; this is the only Wildcard Trace where this applies

  • If the trace is still unsuccessful, follow local procedures to refer the case for Specialist Tracing
