ADDM254 - ADD user guidance: person trace (information)
Use this guidance to trace people using the Access to DWP
Data (ADD) system. It has a wide choice of fields with which to
trace a customer. As the system will only return up to 100 results,
try to make the trace as specific as possible by entering all the
data you have.
Within this screen you must enter at least two of the
following
- Forename
- Surname
- Date of birth
Notes:
| 1. | If you do not know the whole name or do not know the correct spelling, you can still use the information to trace a record. This is known as using a Wildcard Trace |
| 2. | The more information you enter in the Person Trace screen the better the hit rate |
| 3. | Where there are more than 100 records returned, only the first 100 results are returned to the trace results table. The message ‘Trace has returned more than 100 records, try narrowing the search parameters’ will also be displayed above the trace results table |
From these screens you can also
- View the Person Trace Results
- Trace the person’s address. You must have the Enhanced Trace User role to be able to do this
And
- Trace the Corporate Organisation details. You must have the Enhanced Trace User role to be able to do this
The Person Trace screen also contains the following features
- Relaxed Name Trace - When this checkbox is selected, ADD will trace for any records that have similar forenames and surnames or the same names spelt differently
- Multipart Surname Trace - When this checkbox is selected, ADD will trace records that have a multipart (hyphenated or double-barrelled) surname
- Include Historic Records - When this checkbox is enabled, ADD will trace for both current and historic records
- Possible NINO - By entering a possible
NINO in this field, ADD will split the NINO into 4 sections and
perform a ‘relaxed’ trace on each section. A successful
trace will be presented if 2 sections match
