IHTM07055 - FACET: file and reference creation

All requests for file creation for IHT come to FACET. The main types of file that are created are

  • Taxpaying death file
  • Non taxpaying death file
  • Non taxpaying death file with agricultural relief
  • Settlement file
  • Lifetime file
  • Board papers
  • DCM
  • Excepted estates IHT 204s

Files for taxpaying death files are the most urgent and need to be created on the day of receipt. The majority of taxpaying files come directly through the post room (IHTM07004).

The cases that come through Cashiers have a Cas 1 or Cas 18 attached and need to be created and back to Cashiers before the end of the working day. The cases that come direct through the Post room are checked by the FACET post team (IHTM07052) who will issue any special instructions. File creation requests from other parts of the office will usually be sent on an Entg 15 giving specific instructions.

You need to check the ALF system (IHTM03291) thoroughly before creating any new references to check if a reference already exists. If a reference exists already you should obtain the file and merge the papers. If there is not an existing reference a new reference and file (IHTM03001) need to be created. To create a new reference on ALF you need the full name, date of death or transfer. ALF will produce a bar code label that needs to be printed and put onto the file cover. The file cover also needs date stamping and initialling to identify when the file was created. You will also need to stamp the file to identify if the case is ‘Sampled’. This information is given on ALF once a reference has been created.

The newly created files need returning to the section the request originated from or onto the data capture stage if there is a new IHT400 received.
