13.10 Gather employee information

From April 2009 we will require all forms P45(1), P45(3), P46 and similar pension forms to include the date of birth and gender of employees. You will need to make sure your payroll has this information. If not, start gathering this information from your existing employee records now and record your new employees’ personal details from now on.

Although we accept the default date of birth (01011901) on Employer Annual Returns, we will NOT accept it for the submission of in-year data.

To prepare for the proposed date of birth and gender changes, you do need to start collating personal information about your employees ahead of April 2009. While we are not suggesting that employers obtain the date of birth as part of their recruitment processes, employers can ask for the date of birth once the employee has been appointed if they need it for those checks or, for example, if they need this information to complete a P46.
