DPS Software - Outlook Office

Outlook Office from DPS is a new case and matter management system that can operate entirely within Outlook™ as a fully integrated component. This system brings together all key practice functions in a single desktop application.

This versatile software combines case management, phone, digital dictation, task, web and text messaging with a full power document assembly engine that allows emails, letters and documents to be assembled against cases quickly and easily.

The DPS Product range has ready built workflow modules for property purchases, sales, HIPs, remortage, personal injury, family, crime and general litigation work. The software has optional modules for practice management, accounts and digital dictation.

All One Office modules are fully integrated and use a single SQL database where practice information is shared between modules that use it, avoiding any possible duplication of data. This eliminates the need to re-key bills or disbursements that have already been raised in a case. In addition, ledger cards can be viewed and printed from cases, and cheque requisitions can be raised and approved electronically.

One Office modules allow data to be shared with ELITE™, CIVICA™, TFB™, PILGRIM ™ and CASHIER™ accounts and practice management systems. This means that users can choose One Office as a ‘Best of Breed’ case management system and still benefit from a fully integrated system.

DPS’ web quoting module, available at dpssoftware/webquote, can assemble and complete online quotes, accept instructions and generate confirmation to clients. This module can also incept a file and create and send any defined opening letters or documents by email, DX or post using the system 'robot'. The robot allows a practice to fully automate the more mundane tasks which take time and increase costs.

One Office has been fully compliant and certified for online submission of forms SDLT1 to 4 since January 2006. The system has recently been updated to include generation of replica SDLT5 forms in addition to online submission.

The One Office suite of programs is fully integrated to MS Outlook and shares appointments, tasks and emails. The system is simple to use and the 'Case Robot' can complete tasks automatically or have work delegated to it.

The complete DPS system can be run from a web browser or from entirely within MS Outlook™. Outlook Office case management system integrates incoming and outgoing emails against cases with no user intervention. In addition, the system automatically marks incoming emails in the fee earners inbox as being on file or not.

Fully TAPI (Telephony Application Program Interface) compliant, the One Office suite of programs can dial contacts on case files, record calls, and save attendance notes against files. Incoming calls automatically show the caller’s number and any matters that the call is linked with.

Written in Microsoft's .NET, One Office uses a fully scalable MS SQL database as its data source and is fully tested with SQL version 5 and Microsoft Vista.
