PAYE Online - Internet: notices and reminders
Data Provisioning Service (DPS)
You may not be aware that even if you only registered for our PAYE Online service to send your Employer Annual Return online you will automatically get your PAYE notices and reminders online too. These are made available from your PAYE Online service unless you have opted to receive notices by another channel, such as paper or Electronic Data Interchange. The Data Provisioning Service (DPS), which is the system used, is an integrated part of our PAYE Online – Internet service.
You must access and action your online notices regularly. If not, there is a risk that you could make incorrect deductions from your employees. Or, if you have fewer than 50 employees, you may not know that we have awarded you the tax-free payment for filing your Return online.
If as an employer or agent you would prefer to continue receiving PAYE forms and notices by Electronic Data Interchange (EDI), magnetic media or paper, you can do this when you activate your PAYE Online service.

PAYE Online - Secure Mailbox service comes to an end.
On 27 June 2007, the Secure Mailbox service, where we sent PAYE Online notices and reminders before 5 April 2006 is due to end.
Messages that are currently stored in your Secure Mailbox will no longer be available so if there are any messages or notifications that you want to keep for audit purposes, please ensure that you save them or print them out before 27 June.
You can access your Secure Mailbox from your PAYE Online service page by selecting the link ‘You can also view notices issued for tax years up to 5 April 2006’.
This does not affect notices and reminders that have been issued since 6 April 2006.
February 2007
A DPS maintenance release took place on 8 February and this has addressed the following issues which may have affected some customers.
We have changed the Notice Summary section within the PAYE Online service page to provide access to notices delivered to DPS within the last 7 days, regardless of when they were issued. This means agents will have seven days from delivery to use this quick access method to view their notices without having to do a client search. This will also address any previous problems experienced with email alerts.
Also, when the Notice Summary for agents contained more than 30 clients, the first 30 were correctly displayed on the first page but further clients were not being displayed correctly on subsequent pages. This prevented access to those client notices. The problem has now been fixed and clients after the first 30 are now properly displayed.
2007-08 P9 code numbers
You can view 2007-08 P9 Coding Notices online from 19 February by selecting
2007-08 from the drop down menu under ‘Search notices’ on the
‘Tax code notices’ page.
Listening to your views and expectations
We recognise that our customers have many different views and expectations
about using DPS and we are sorry that it doesn’t meet all your needs.
Following customer feedback we are consulting with external business representatives from the Employer Consultation Forum to consider how we can improve the service. Suggested enhancements to the service are to provide:
- a facility to know that an item has been read
- information within the email alert to enable you to identify who and what the notification refers to
- a better search facility (for agents who haven’t retrieved new notices within the 7 day view facility) and
- a more user friendly print facility.
We are currently working with our IT service provider to evaluate these suggestions to decide what is deliverable and when. Keep checking this page for further updates.
Meanwhile, we welcome your feedback about all our online services and would like to hear about your experiences and any improvements you would like to see. You can use our Give us feedback service to express your views about any of our online services or our website. Although we cannot reply to feedback given in this way, our ‘Customer Feedback Team’ will review your comments and if appropriate will use them to assist in the development of, and enhancements to our online service.
Subscribe to notifications service - email alerts
You must provide an email address using the ‘Notifications email’ service so that we can send email alerts when you have notices and reminders to view. This will allow you to action your notices quickly and effectively.
To subscribe to this service select the link ‘provide us with an email address’ from under ‘Notice Options’ section on your PAYE Online service page.
The email address given here will not overwrite any address that may have been provided for other purposes. For example; the email address given at registration is used for sending confirmation for your online submissions.
Important – You must do this even if you gave us your email address at registration or got email alerts in 2005-06. Due to restrictions within the Data Protection Act, we cannot transfer email addresses provided at registration to the notifications service.
Agents – Please note we will only issue one email alert per type of notice per day. So if you receive new P6 codes for six clients on the same day, you will get one email alert to cover all P6 notices issued on that day.
Employers - how do I view PAYE notices and reminders?
To access your PAYE notices and reminders select ‘PAYE for Employers’ from the ‘do it online’ menu from the HMRC homepage and login to your service using your User ID and Password.
Select one of the following options from the ‘Notice summary’ section on your PAYE Online service page
- tax codes notices (P6s and P9s)
- student loan notices ( repayment start and stop notices)
- employer notices (includes tax-free incentive payment notification and reminders such as P35N)
- notices.
Once you have selected the notice type, this will list any notices issued recently (within the last 7 days). Alternatively, if you want to view a notice outside of the 7 day period, you can use your own search criteria to find the PAYE notices you want to view. You can amend the pre-populated date fields to suit your search or you can leave both date fields blank to list ALL data available in DPS for the notice type. If you know which employee you are expecting a notice for, you can also search using a National Insurance Number.
To view 2007-08 P9 code numbers please select ‘2007/08’ from the drop down menu.
Agents - how do I view PAYE notices and reminders?
Agents navigate to their PAYE Online service page in the same way as an employer; however the options to view and search for client notices are different.
To view PAYE notices and reminders issued within the last seven days select the ‘view notices’ option from the ‘Notice summary’ section on your PAYE Online service page. Once notices and reminders are over seven days old they are no longer visible in the ‘Notice Summary’ section. To access these notices you need to use the ‘Search clients’ facility to view all clients or each client separately. To search for each client separately use the drop down field to select the Employer Name, Employer Reference or your Client Reference. Enter the relevant criteria and select ‘GO’.
When your client or client list is displayed, select the client you wish to view to search for a specific notice type. You can use your own search criteria to find the PAYE notices you want to review for the selected client. For example; you can amend the pre-populated date fields to suit your search. Or you can leave both date fields blank to list ALL data available in DPS for the notice type.
To view 2007-08 P9 code numbers please select ‘2007/08’ from the drop down menu.
How can I download notices and reminders?
Once you have selected your notices and reminders you can print (using the print facility on your browser) or download them as csv. files. These files mean you can load data from the notices into spreadsheets or other application software for further processing.
Some 3rd party (commercial) software providers have developed products that can let you view, download or print your forms. A list of those that have gained HMRC Internet recognition is available.
